Black & Decker

The company is the world’s largest producer of power tools and accessories. Its household products business is the U.S. leader and among the top global competitors in the small household appliance industry. With products marketed in over 100 countries and approximately half of its revenue from outside the United States, Black & Decker holds leading market share positions in its industry.

The challenge

Black & Decker publishes approx. 100 new manuals each year, and has to deliver these manuals in between 12 and 24 languages. Typically, the average manual contains between 2,400 and 5,000 words per language. The annual translation cost without reuse would amount to approx. $1 million.

The solution

Tedopres creates all Black & Decker manuals using a database of available text blocks and a standardized structure to minimize translation cost and time to market while optimizing consistency and facilitating version management.

The results

For common power tools, the amount of re-use from the database has been 90% or better. At the same time, Tedopres developed the Black & Decker authoring system to yield this solution while observing all customer requirements.

This solution resulted in cost savings of 90% on translations. Furthermore, the cycle time was decreased by 80%.

 

 
 

CFS

CFS is a world-leading supplier of preparation, marinating, processing, slicing and packaging solutions, primary for the meat, poultry, fish, seafood and cheese industries. It offers the most extensive range of advanced solutions on the market today - from a single machine or packaging material to a complete production line.

Operational challenges such as variety and flexibility, cost per kg/pack, food safety and environment, are the basis of CFS product and packaging innovation for improving output and reducing operating cost of food processors.

The Goal

To date, every CFS site had its own methods and techniques to compile and publish technical documentation with varying quality. It turned out as a rather inconvenient approach. The challenge was to make CFS manuals uniform with cost savings and improved performance in mind.

The Solution

Tedopres prepared a two-track policy. In short (1) make up documentation with one appearance, one structure in a well-ordered arrangement and (2) use XML, write STE (Simplified Technical English) and emphasize illustrations. The keyword here is modularity.

At present, Tedopres uses a database to compile CFS manuals. The information units in this database are already available (re-usable) or have to be produced (on term re-usable). A well-defined set of metadata provides access to the stored information.

Content and layout are separated in XML. By way of style sheets it is possible to publish the same content to paper (PDF) or to the web (HTML). Moreover, the same content may be used for other purposes, for instance on-line help assistance.

The Results

All CFS documentation is recognizable by structure and layout. For CFS, this is an important issue. The use of STE results in a text reduction of 60%. Moreover, it makes translations clearer and therefore more reliable. In general, the re-use of nformation units is 20% due to simularities in the sections Safety and Control. If a machine fits within a product family, the benefits may even run up till 80%. Re-use in translations saves up to 90%! All efficiency benefits together provide a time-to-market profit of 30%.

Dura Vermeer Materieelservice

The Dutch company Dura Vermeer Materieelservice BV rents building equipment to constructors and contractors. Their inventory includes over 1,200 different products.

For Dura Vermeer Materieelservice BV, Tedopres developed a database that enables the entire product range to be displayed on the Internet, so that customers can shop and order on-line. Thanks to a special database maintenance tool, the information displayed is always accurate and up-to-date.

In addition to online shopping, data can also be published in the form of catalogues, brochures and other types of documents.

 

Dutch Armed Forces

Tedopres developed and wrote documentation for FN's .50 Heavy Support Weapon. Besides manuals, instruction sheets, inspection forms and parts lists, Tedopres also developed a computer based training (CBT).

All documentation was based on the S1000D Specification and complied with the standards of the Royal Dutch Army.

 

 

Hitachi

Tedopres, one-stop shop for HitachiHitachi Construction Machinery develops, manufactures and sells excavators, wheel loaders, off-road dump trucks, tunnel boring machines and other products.

As of August 1, 2004, Tedopres has been producing all commercial documentation for Hitachi Construction Machinery. Tedopres' one stop service covers all aspects, including design, translation, printing and distribution of Hitachi's commercial documentation. In addition, Tedopres created an online ordering system for Hitachi customers.

Inteco

Inteco B.V. supplies tailored ceiling systems with integrated climate control.

Tedopres created a new range of company and product documentation for Inteco, combining technical specifications with a fresh marketing approach, both tailored to Inteco's corporate identity. In addition, Tedopres' in-house translation services allowed the availability of Inteco documentation in four different languages.

Jansens & Dieperink

Jansens & Dieperink manufactures silos, mixers and bulk containers for the petrochemical industry.

In order to disseminate the company's new image, Tedopres developed a corporate identity that communicates more effectively.

OMRON

Headquartered in Kyoto, Japan, OMRON Corporation is a global leader in the

Philips Medical Systems

A team of 15 Tedopres technical authors work at Business Units of Philips Medical Systems (PMS) in Best, The Netherlands. They are responsible for developing documentation for a broad range of medical X-ray and MR systems:

  • service manuals and reference cards;
  • instructions for use;
  • electronic on-line documentation;
  • instructor led training and e-learning.

We participate in several state-of-the-art system development projects, such as Ambient Experience and Medical IT applications. All documentation is developed in close cooperation with Service Innovation engineers, IT specialists and trainers.

In addition to creating technical content, our authors support information analysis, document testing, reviewing and publication. Tedopres is responsible for the complete documentation process, including project management. This enables us to work in a flexible way, which means that we can provide the required resources on time. We have over 10 years of working experience at Philips Medical Systems with a team of highly qualified technical authors. This allows us to assure that our knowledge with respect to the medical systems remains up-to-date and reliable at all times.

SGB Holland

For over 70 years SGB Holland has been synonymous with safe and efficient working. SGB is mainly active in the area of leasing scaffolding, support systems, tower wagons and builder's hoists in the Dutch construction industry.

Tedopres developed SGB's marketing documentation, such as marketing brochures and leaflets, tailored to SGB's corporate identity. In addition, Tedopres also manages and executes SGB's mailing activities.

SGB uses Tedopres' content management system, HyperDoc, which manages SGB's technical and commercial information and ensures that up-to-date documentation is published. In addition, SGB's marketing division uses HyperDoc to create both commercial and non-commercial flyers. Tedopres developed a style sheet which was tailored for each type of flyer, yet having a uniform look.

Thermobile Industries BV

For more than 40 years Thermobile has specialized in the development, production and international marketing and sales of mobile space heaters. Thermobile’s head office is located in Breda, the Netherlands, with service offices and dedicated partners throughout Europe and North America. Thermobile produces mobile and stationary space heaters for almost every conceivable space and application. The heaters run on a wide variety of fuels, including environmentally friendly bio-fuels and natural gas or propane.  Thermobile’s products stand out in terms of innovation, mobility, ease of use and quality, and in the excellence of their customer support.

By using Tedopres’ HyperDoc Content Management System, Tedopres is able to supply high quality and consistent user documentation. The modular structure of the manuals means that new manuals can be produced quickly and efficiently by re-using standard text modules.  Changes to existing manuals can also be realized with a minimum of effort. The modular approach enables a quick turnaround and guarantees a consistent look and feel for all Thermobile documentation.

The text and illustrations are kept separate within the user documents, making it simple to produce versions of any manual in different languages.

 

Yamaha Motor Europe

The maintenance of a motorcycle or scooter should be made as efficient as possible without needing much time to look up information. This was the goal set by Yamaha Motor Europe when entering into a partnership with Tedopres. 
Yamaha Motor is one of the world's leading manufacturers of motorcycles and scooters, with its head office in Japan and many subsidiaries around the world, including 21 distributors and approximately 2500 dealerships throughout Europe.

The Problem
‘Our technical documentation, including parts lists, user and service manuals, is created in our head office in Japan,’ says Marc de Graaf, Network Developer at Yamaha Motor Europe. The documentation is made available online to distributors and dealerships through the Yamaha Service Portal System, which was developed by Yamaha in Japan. When a mechanic needs to do a maintenance procedure, he can find all the necessary information in this system. ‘Unfortunately this is very time-consuming’, says Marc de Graaf. ‘The information is spread out over a large variety of documents, which makes it hard to find. It’s also difficult for a mechanic to get an overview of activities he needs to perform, for instance, a 40,000 km maintenance procedure. In addition, the files are often between 20 MB and 30 MB in size, which can take quite some time to download. Furthermore, the risk of error is also quiet substantial. Not only is it difficult to find the parts needed for a maintenance procedure, to order them you would have to write the concerning numbers down. In other words, lots to improve! Which is why Yamaha contracted Tedopres.’

The Challenge
The new system had to meet a number of requirements: clear and concise information that can be easily retrieved by the mechanic in a user-friendly system, resulting in both time and cost savings in the work place. ‘In order to achieve this we were looking for a partner’, says Marc de Graaf. ‘We spoke with many companies and decided to enter a partnership with Tedopres. They operate internationally and have 35 years of experience in delivering technical information, which turned out to be crucial in our decision-making’.

The Solution
After conducting an inventory on which desires to fulfill and which requirements to meet, Yamaha Motor Europe and Yamaha’s head office in Japan developed the YM@P system, which is completely integrated with the Yamaha Service Portal System. Tedopres is responsible for creating, delivering and managing the files for this system. We first created a template for all Yamaha product groups and models. We then collected all the necessary information from existing parts list, user and service manuals, and entered these into a database developed by Tedopres. Next, the information was converted to PDF files, each about 350 KB in size, which represent the check lists of each maintenance interval per model. 
The files are uploaded by Yamaha’s Japanese head office, Yamaha Motor Europe enters pricing for each part, and this information is automatically retrievable in the new YM@P system through its integration with Yamaha’s parts system.

The Benefits

  • By following a few simple steps the mechanic has direct access to all the relevant information he requires in order to perform a maintenance procedure; he no longer needs to search for this by browsing through many technical documents.
  • The mechanic enters the information per model and the type of maintenance procedure, and automatically receives an overview of which parts are needed.  The overview also includes the number of hours required to perform the procedure as well as a cost overview. The mechanic has the option to print the checklist for the applicable maintenance procedure, and/or print a quotation for the customer for each maintenance procedure. This enables each dealership to immediately inform the customer on the cost for a particular maintenance procedure.
  • It is also possible for the mechanic to order parts that are not in stock through this system, which eliminates the potential for errors as he no longer has to write the applicable parts numbers down.

The Result
Yamaha Motor Europe has introduced the new system to all of its distributors and dealerships, who have responded positively. Distributors and dealerships in 14 countries are currently working with the system, and more will follow shortly. ‘The new system works well in a multilingual environment’, says Marc de Graaf. ‘This is the result of Tedopres’ HyperTerm, a multilingual terminology/sentence database, which manages all our terminology and phrases in over 9 languages.’ When allowed access, the distributor has the ability to translate each term, which, after approval, are uploaded into the YM@P system so that they can be retrieved and published by each distributor and dealership.

In addition, Tedopres has standardized the terminology and phrases using the principles of Simplified Technical English, which have made them easier and cheaper to translate. This has also increased the quality of the translation, making it easier to understand by the end user.

Overall, Tedopres assisted Yamaha in efficient information delivery to its distributors and dealerships, resulting in time savings, cost savings and quality improvement, all of this to benefit the customer!
